New Application Process Offers More for Managers, Job Seekers

A new system for managing the hiring process at U-M launched last week.

It includes a new applicant management system, known internally as "eRecruit," which is designed to support the hiring process for managers and administrators across all U-M campuses and the U-M Health System.

Additionally, there is a new career website for applicants, UMJOBS.org, which offers a clean design and enhanced search functionality.

"Over the past 18 months, staff representatives from across all U-M campuses gave input and shaped the new applicant system and career site," says Laurita Thomas, associate vice president for Human Resources.

"Every step of the way we were guided by that input and created a wish list to help develop a better system. The vast majority of features requested by university colleagues have been successfully incorporated, and we’re confidnt this collective effort will contribute to hiring the very best candidates for Michigan."

The eRecruit applicant management system promises benefits that include easy access to resumes and applications, tools to manage applicant pools, and an easy process for previewing and modifying the text of job postings.

A comprehensive Unit Readiness program to train key unit representatives from across all campuses and the U-M Health System began in January. More information about eRecruit is available at hr.umich.edu/empserv/erecruit/.

The new UMJOBS.org website gives job seekers more options to find a career at U-M. The new design features enhanced search functionality, including “career interest” and "browse jobs" options. More options also are available for receiving and sharing job alerts, including notifications via e-mail, RSS feeds and social media services like Twitter.

For current U-M employees, and external job seekers who have been active on the site within the past year, information from the old system is available in the new site. However, a visit to the new site is required to sign up for and continue to receive e-mail alerts when new jobs are posted. Instructions can be found on the site’s FAQs page.

Questions Submitted by Job Applicants, and Suggested Solutions

During the first week of using the new applicant management system, UHR has received some common questions about issues with the system. Explanations and possible solutions are presented below.


The applicant system is “booting me out” when trying to add information to work experience or education fields.

This issue is likely software incompatibility with the new applicant system. 

  • For Mac OS X 10.3 (Panther), or Mac OS X 10.4 (Tiger) or Mac OS X 10.5 (Leopard), Safari 3.0 and Safari 3.1.1 are supported. 
  •  For Windows XP, IE 6, IE 7, Firefox 1.7 and Firefox 3.0 are supported.
  • For Windows Vista IE 7 and IE 8 are supported (however, IE 7 is preferred).

To receive e-mail job alerts do I need to sign up again? 


Yes. To receive e-mail alerts of job postings you must subscribe. Instructions are available here: http://umjobs.org/using_this_site/faq.php#10.



As an applicant, can I delete my old resumes? 


No. Because of the way the system saves resumes, deleting them destroys history.  They will be deleted by a purge process once they are 4 years or older.



Can I  change, update, or edit documents that have been submitted?
 

Once documents have been submitted to a job opening they cannot be modified due to legal reasons.



My application is missing information like Work Experience and Post Secondary Education History, will this affect my consideration for open positions?


If your application was submitted to a job opening prior to 6/4/10, the application format is from the prior system, and nothing is missing – it’s simply in a new format.  Departments are aware of the conversion and should not hold the change in format against any applicant.  In all cases, be sure your resume is well thought out and addresses the qualifications/duties of the job opening.

Non-union Staff Election for DPS Oversight Committee Through June 25


Non-union staff member elections for the Department of Public Safety Oversight Committee are now underway.  Online voting is available now through 4:00 p.m. on June 25, 2010.

The six-member oversight committee is comprised of two student members, two faculty members (one Senate and one non-Senate faculty), and two staff members (one union and one non-union), who are nominated and elected by their peers for two-year terms.  The committee considers grievances against police officers or the Department of Public Safety.  Its findings and recommendations are reported to the Office of the Executive Vice President and Chief Financial Officer.

This year, the term of the non-union staff member is expiring.  Therefore, all UM-Ann Arbor and UMHS staff members not represented by a union are eligible to vote in the election.  The candidate with the greatest number of votes will be appointed to the committee in July 2010.

Visit https://hr.umich.edu/dps/staffballot.php to review the statements of the candidates and register your vote for the candidate of your choice (voting more than once or for more than one candidate will result in disqualification). The deadline for voting is June 25, 2010 at 4 p.m.

Changes to Postdoctoral Research Fellows Standard Practice Guide 201.19

A faculty-led review of Standard Practice Guide 201.19"“Postdoctoral Research Fellows" was conducted over the past several months by the “Postdoctoral Advisory Group,” under the sponsorship of Rackham Graduate School and the Office of the Vice President for Research. The group considered the SPG in the context of emerging best practices with respect to postdoctoral training and also with an eye towards encouraging greater consistency in training and mentorship practices for fellows across campus.

Many of the changes are summarized below:

  • A fuller description is provided of the circumstances in which it's appropriate to assign a postdoctoral research fellow title, specifying the scientific nature of most postdoctoral research positions. (II.A.1.)

  • Modification of the customary maximum duration of research fellowship appointments, which should be made for one year or less, with the possibility of renewal in subsequent years, not to exceed a total of five (previously six) years of postdoctoral training. This change is consistent with guidelines of external funding agencies, such as NIH. (II.A.2.)

  • Requirements to be met by units before offers are extended. (II.A.3.)

  • Expectations regarding the responsibilities of appointing units and research fellows themselves for assuring a successful training experience. (II.A.4.)

  • Description of the circumstances in which postdoctoral research fellows whose activities involve classroom teaching must hold a separate instructional appointment under the provisions of the university’s contract with the Lecturers' Employee Organization.  (II.A.8.)

  • Elimination of the "employee-trainee" designation, while continuing to address the special circumstances of “scholar trainees” funded by externally-designated trainee programs in which postdoctoral research fellows hold 0% appointments. (II.A.6. and II.E.2.)

  • Modification of the customary maximum duration of research fellowship appointments, which should be made for one year or less, with the possibility of renewal in subsequent years, not to exceed a total of five (previously six) years of postdoctoral training. This change is consistent with guidelines of external funding agencies, such as NIH. (II.A.2.)

  • The new language addresses more specifically the process by which fellows and their assigned mentors agree on a proposed training program that will enhance the fellow's scholarship and ability as a researcher. (II.C. 4.)

  • More specific information is also provided about administration of paid time off for postdoctoral research fellows with effort. The annual vacation allowance is now described as “‘one month in twelve’ (22 workdays)” for fellows appointed in yearlong increments, with proration for partial year appointments. (II.D.8.a.) In addition, the language authorizes the use of short-term sick leave to address care of newly born, newly adopted, or newly fostered children. (II.D.8.b.)

  • Finally, the generic sample grievance procedure now includes the Office of Academic Human Resources for consultation before deciding a case. The Office of the General Counsel continues to be listed as an option for consultation as well.  (ATTACHMENT A)

FREE Alcohol Management Program for U-M Faculty & Staff

Enjoy life more. Drink less or not at all. MHealthy’s one-on-one Alcohol Management Program is for people with mild to moderate alcohol problems.  This brief, confidential health education program helps you change your drinking habits so you’ll:

  • Sleep better
  • Decrease stress and anxiety
  • Feel a sense of relief and self control

This program is not for people who are severely dependent or alcoholic and require alcohol treatment services rather than health education.

Kick the Habit: A Tobacco Treatment Program

MHealthy Addresses Mental Illness and Family Through Award-winning Photo Exhibit

The National Institute of Health reports that one in four adults - approximately 57.7 million Americans - will experience a mental health disorder in a given year, and one in 17 adults lives with a serious mental illness such as schizophrenia, major depression, or bipolar disorder.


To help increase awareness, the MHealthy Understanding U program is sponsoring the photo-text exhibition “NOTHING TO HIDE: Mental Illness in the Family.”  The exhibit includes 20 photographs and text from interviews with individuals and their families whose lives have been affected by schizophrenia, bipolar disorder, obsessive compulsive disorder, major depression, and other serious brain disorders.

The exhibit is displayed in the Hatcher Graduate Library’s north lobby exhibit cases (just inside the main entrance off the Diag), 913 South University Ave., now through June 28. A portion of the exhibit will also be on display at U-M Flint and U-M Dearborn throughout the month of June.

NOTHING TO HIDE was created by Amherst, Massachusetts-based Family Diversity Projects, an award-winning non profit devoted to educating the public about issues related to the diversity of family life.
