2010 Holiday, Season and Vacation Scheduling
MEMO TO: Deans, Directors, and Department Heads

SUBJECT: Change to Season Days for 2009; Holiday and Vacation Scheduling for 2010
(SPG 201.26--Holidays; SPG 201.26-1--Season Days)
CHANGE TO SEASON DAY USAGE FOR 2009 (SPG 201.26-1)
The University observes four (4) Season Days between the Christmas and New Year’s Day holidays and employees receive time off on those days. Effective this year, we are offering greater flexibility in scheduling alternative vacation time for employees who must work on a designated season day by eliminating the two month period (November 15, 2009 – January 18, 2010) during which alternate season days had to be taken.
Instead, employees who work on a Season Day will receive an equivalent amount of vacation hours as an addition to their vacation accrual. They may schedule this vacation time at anytime during the year by requesting vacation as they usually do. Using the time reporting code SEW for hours worked on a season day will tell the payroll system to pay the staff member at the appropriate rate and automatically add an equivalent number of hours to their vacation time accrual. If no hours are worked during the Season Days, the SEA time reporting code should be used.
By eliminating the specific timeframe within which season days needed to be used, units and employees have much greater flexibility to reschedule time away when it’s convenient to the staff member and sensitive to unit workloads.
The Season Days for 2009 are December 28, 29, 30 and 31.
The Season Days for 2010 are December 27, 28, 29 and 30.
HOLIDAYS FOR 2010 (SPG 201.26)
This list of recognized holidays below is being issued to assist you in planning work and vacation schedules for the 2010 calendar year. The University will observe seven (7) official holidays in 2010 on the dates shown below:
- Memorial Day: Monday, May 31
- Independence Day: Monday, July 5
- Labor Day: Monday, September 6
- Thanksgiving Day and the day following: Thursday and Friday, November 25 and 26
- Christmas Day: Friday, December 24
- New Year's Day: Friday, December 31
Because other days may be of more significance than a University-designated holiday, a staff member may request approval to substitute up to three (3) holidays of his/her choice for any three (3) University holidays. Written request of substitution(s) for the upcoming fiscal year must be given to the immediate supervisor on or before July 1st of that year.
Health System employees covered by a paid time off (PTO) plan may request time off during the winter holidays consistent with their department policies. Departments may also assign paid time off (or no pay time if requested by the employee and permitted by the department’s policy) during this period to accommodate reduced workload or unit closure.
Employees in bargaining units observe holidays and Season Days as indicated in their respective agreements. Temporary employees are not eligible for Season Day or Holiday pay. If you have questions relating to this policy or contractual provisions, please call one of the following offices:
