Recommendations for Instructional Promotions


This memorandum is to assist in preparing the casebooks that are presented to the President's Office in final form for instructional promotions. There are changes this year, so please read the enclosed packet carefully. Please submit all materials from your campus in two 3-ring binders, with dividers delineating each recommendation. The original signed promotion recommendations should accompany these binders in a separate envelope or folder. IT IS VERY IMPORTANT TO CHECK THE BINDERS SIDE-BY-SIDE TO MAKE SURE THEY MATCH EXACTLY.

Two sets of binders:

First set =

  1. Original summary cover memorandum from Chancellor and from dean(s)
  2. Unit's criteria for evaluation
  3. For each candidate, have a divider and:
    1. Copy of promotion recommendation
    2. Original summary letter from Chancellor (new this year)
    3. Candidate's original curriculum vitae
    4. Documentation of teaching effectiveness
    5. Documentation of service (optional)
    6.  Copy of solicitation letter
    7. Credentials of external reviewers
    8. ALL original external evaluation letters (must be at least five letters)
    9. ALL original internal review letters (optional)

Second set =

  1. Copy of summary cover memorandum from Dean and from dean(s)
  2. Copy of unit's criteria for evaluation
  3. For each candidate, have a divider and:
    1. Copy of promotion recommendation
    2. Copy of summary letter from Chancellor
    3. Copy of candidate's curriculum vita
    4. Copy of documentation of teaching effectiveness
    5. Copy of documentation of service
    6.  Copy of solicitation letter
    7. Credentials of external reviewers
    8. Copy of all external evaluation letters
    9.  Copy of all internal review letters

Plus, in separate folder or envelope

Original promotion recommendations
Non-Discrimination Review (Attachment D) for each person formally reviewed

In addition

Three-ring binder that includes information on all negative tenure decisions

Some Dos and Don'ts:

Do include unit's criteria for evaluating teaching, service and scholarly research for each rank.

If a faculty member is being recommended for "tenure only" (without a change in title), use the wording "is recommended for the granting of tenure to be held with his/her title of..."

Do include documentation on teaching (including candidate's record of supervising graduate students).

Do refer to department chair as "chair" or "chairperson" (not "chairman").

To protect anonymity of reviewers, do not use University-specific quotes; substitute [my institution], or something similar.

Do not use the word "young," even when quoting a reviewer. Substitutes: [of his cohort] or [of her generation].

Do not use phrase "full professor." Omit the word "full."

When using quotation marks, do put them outside of commas and periods; inside of semi-colons and colons.

Do be consistent in punctuation of journals, articles and book titles.

These promotion recommendations look like the monthly regents communications, but DO NOT include line for President's signature.

Do not put candidate's birthday, age, marital status, or number of children on vitae.

Do include a summary paragraph describing each reviewer.

Do include all evaluation letters received (a minimum of five evaluation letters should be submitted).

Do not staple anything.

Do put originals of review letters in Binder One.

Do not put Attachment D in binders; we need only one copy of those attachments and they are to be included in the envelope with the original 3-page recommendations.

DO CHECK BINDERS SIDE-BY-SIDE, TO MAKE SURE THEY MATCH EXACTLY. THIS IS MOST IMPORTANT!!
